Unless otherwise noted, the policies below apply to all students who registered on or after April 1, 2018. As our policies may change from time to time for new students, we suggest that you download or print a copy of these policies as of the time of your registration for your own records.
Update February 2018: our Ongoing Coaching program is now called Foundational Consulting, and our College Applications Consulting is now called College Admissions Consulting. All policies below affecting Foundational Consulting or College Admissions Consulting also apply to Ongoing Coaching or College Applications Consulting, respectively.
Tuition Rate Changes
Our tuition rates may change periodically, particularly as our service offerings may change from year to year. Although we do not expect dramatic changes to our programs and tuition rates in the near future, we are unable to guarantee that they will remain the same. Any quotations of tuition rates provided during consultations are an expression of current tuition rates, and are not guarantees. You may lock in current tuition rates by prepaying for future years of service. If it becomes impossible or impracticable to provide the precise service offering you prepaid for, you will receive a full refund of the tuition prepaid and unused.
Meeting Usage Time Frame
The purpose of this policy is to maintain momentum with our consulting processes over time, and to ensure that students' assignments and projects are as impactful as possible.
When you enroll in a consulting program whose duration is based on a particular time frame (including, but not limited to, our 12-month Foundational Consulting program), all meeting time included with the program must be used within the program time frame or forfeited.
Although we recommend staying on the ordinary meeting schedule for your program, you may opt to increase or decrease your meeting time or frequency in any calendar month to suit your needs, subject to two limitations: you may not schedule more than twice the normal amount of meeting time in a given month, and your total meeting time within the program time frame may not exceed the amount of meeting time included with the program.
For 11th graders whose consulting programs will transition to College Admissions Consulting in the July after their 11th grade, the above policy applies, except that the applicable time frame begins at the time of registration or renewal during the 11th grade, and ends in July after 11th grade.
Reserved Spots in Our Programs
For Prospective Students: Your tuition payment is required to complete your registration and reserve your spot in our program. Tuition payment is due at your first meeting, with a 30-day grace period. If we do not receive your tuition within 30 days after your first meeting, we cannot complete your registration. If you decide to submit your tuition and register after the 30-day period, we cannot guarantee that we will still have openings for new students in our program. If we do have openings, we cannot guarantee that the openings will be with the same consultant, due to limited spots on each consultant’s roster.
For current Cortex students only. If you refer a friend to us and the friend enrolls, you will receive a free one-hour meeting. This free meeting can be scheduled at any time and can be used for any service we offer. Just let us know the name of your referral before they enroll with our program, and we'll add the free meeting to your account after they sign up and pay their tuition in full.
Whenever we match a student with a consultant, it is our expectation that the consultant will remain with Cortex for years to come. Although we are unable to guarantee the same consultant until your student's graduation, we will make every effort to maintain consultant continuity throughout a student's time with Cortex.
If you are not satisfied with your consultant, you can either request to switch consultants or request a refund.
To switch consultants, the following conditions must be met:
You have worked with your consultant for no more than 3 meetings.
All homework assignments must have been completed on time.
After having a conversation with you, we will match you with another consultant, taking into account your personality, interests, goals, and preferences.
You will get a chance to speak to your new consultant over the phone before making a final decision.
Your current consultant will pass on all relevant information to your new consultant to facilitate a smooth transition.
Program Transition for Rising Seniors
Note: References to Foundational Consulting and College Admissions Consulting within this policy refer to One-on-One Foundational Consulting and College Admissions Consulting, respectively.
Students who enroll in or renew their Foundational Consulting during 11th grade must purchase a full year of consulting. Depending on when the student registers or renews, any unused Foundational Consulting credit at the time of transition to College Application Consulting will either be (A) applied towards the tuition for College Application Consulting, or (B) will be converted into additional time within the College Application Consulting program.
(A) For students who enroll in or renew Foundational Consulting in September of 11th grade or later: Credit will be applied towards College Application Consulting tuition.
In or about the month of July prior to 12th grade, we will transition your student to our One-on-One College Application Consulting program, and apply any paid for but unused credit towards the College Application Consulting program.
For example, if a student begins Foundational Consulting in February of 11th grade, then in July of that year we will transition the student to College Application Consulting. Since 7 out of 12 months of the Foundational Consulting tuition remains unused at the time of transition, the amount of tuition due in order to fully register the student for the College Application Consulting program will be reduced by 7/12ths of the full tuition for College Application Consulting.
(B) For students who enroll in or renew Foundational Consulting before September of 11th grade: Credit will be converted into additional time within College Application Consulting.
Students who wish to enroll in any of our College Application Consulting programs must purchase and pay for the full College Application Consulting program. Any paid but unused credit at the time of transition to College Admissions Consulting will be counted towards additional hours in the College Application Consulting program at the following rate: each month of paid for but unused Foundational Consulting will be converted to one hour of additional College Application Consulting meeting time.
To qualify for a refund, the following conditions must be met:
For Foundational Consulting, you have worked with your consultant for at least 3 meetings and no more than 6 meetings.
For College Application Consulting, you have worked with your consultant for at least 3 meetings and no more than 4 meetings.
All homework assignments must have been completed on time.
We will refund you 80% of the tuition for the remaining (unused) meetings.
